Travel Policy
Below you can find our travel policy details and when it may or may not be applicable to your event or session. These travel policies have been created to ensure that we are well-rested before photographing and with the overall safety of our team in mind.
Travel Compensation
Travel compensation is required when travel time or distance exceeds 1 hour or 60 miles.

Hotels
Overnight accommodations are required when:
- The event or session is more than 60 miles (1 hour) from our studio and begins before 9:00 AM or ends after 9:00 PM.
- The event spans multiple days or requires early preparation or setup.
We typically book hotels that are convenient to your venue and safe for our gear and equipment. This ensures we perform at our best and deliver the consistent quality our clients expect.
Airfare
Air travel becomes necessary when:
- The event is over 250–300 miles one-way from our studio.
- Driving would require an overnight stay both before and after the event.
- Flying is more efficient or cost-effective than driving.
For destination events and sessions, we include airfare, checked luggage fees, ground transportation, and lodging in your custom quote.
We handle all logistics so you can focus on your celebration or brand experience while knowing travel is managed with care and professionalism.
Travel Reservations & Booking Confirmation
When travel is required, a travel reservation line item will be included in your invoice to cover all necessary bookings in advance. This portion must be paid before flights, hotels, or permits are reserved on your behalf.
Once your quote is approved, initial payment made, and contract signed, your date is fully secured, including all travel components.
Reschedules or Cancellations Involving Travel
If a client reschedules or cancels after travel or lodging has been booked, all non-refundable travel expenses (such as airfare, hotel reservations, or car rentals) remain the client’s responsibility. These costs must be reimbursed before confirming a new date or issuing any credits.
This ensures fairness to both parties and prevents financial loss for arrangements made on behalf of your event.
